Forms and leads
A lead is someone who has got in touch and might become a customer. **Leads** gathers them in one list so you can see who is new, who you have answered, and how each one turned out.
Leads arrive on their own from your site, and you can add your own:
If the same person gets in touch again with the same email address (or phone number, when there is no email), their message is added to their existing lead rather than making a second one. The lead stays where it was in the list (which is ordered by when it first arrived), and the new message appears in its Activity.
Leads is in the admin menu for administrators. If you cannot see it at all, ask whoever set up your site to turn it on.
Each row shows the lead's Status, their name and email, the Source (such as form, block, booking or manual), the Assignee and when it was Received. Newest first. A red warning triangle beside a name means the notification email about that lead failed to send, so nobody was told about it: worth a look.
Click any row to open the lead.
Click a lead to open it. Details shows their phone, where it came from (and which form), and their message. Submitted data below lists every answer they gave on the form.
The Pipeline box on the right is where you move a lead along. The stages are:
Activity keeps the whole history, newest first: every note, every status change and every change of assignee, with who did it and when. Entries marked System were added by the site, such as a repeat enquiry.
Leads does not send emails for you. Reply from your own email as usual, then come back and set the status to contacted and add a note of what you said. A quick way to keep on top of things:
Export CSV downloads the leads as a spreadsheet. It uses whatever filters are on screen, so to export only this month's won leads, filter the list first and then export.
To delete leads, tick them and click Delete on the bar at the bottom of the screen, or use Delete at the top of a single lead.
Deleting a lead also deletes its notes and history, and cannot be undone.
