Running the site
Users are the people who can sign in to the admin. This page covers adding them, choosing what they can do, changing their details and removing them, plus your own profile.
Open Users under System in the sidebar. It lists everyone who can sign in, with their Name, Email, Role and when they Joined. Type in Search name or email… to find someone, or use All roles to show only administrators (admin) or standard accounts (user).
Click anywhere on a row to open that person. Only administrators can see this screen.
The Users screen.
Their account is ready straight away; they don't need to confirm their email. Tell them their password yourself, and ask them to change it from their profile once they've signed in.
Making someone an Administrator asks you to type your own password first. This stops anyone who finds your computer unlocked giving themselves full access.
For a standard account, Quick start offers ready-made sets of ticks named after jobs, such as Content editor, Shop manager, Order desk, Enquiries, Bookings and SEO. Press one to fill in the ticks, then adjust them. Press ? beside one to see exactly what it can and cannot do. Nothing is saved until you save.
Under What they can do, ticking a module gives everyday access to it. Destructive actions, such as deleting, purging or refunding, are listed separately and have to be ticked one at a time.
Standard accounts only take effect once permission checks are switched on for your site. Until then, only administrators can open the admin at all, and a standard account's ticks are kept but not yet used. Ask whoever set up your site if you need standard accounts to work.
Click their row on the Users screen. Change their name, email or access, then press Save changes in the bar at the bottom, or Discard to undo.
To see what a standard account can reach, open Check access at the bottom of their page, pick an action and press Check. It answers with the same rules the site really uses, so it explains why someone can't do something you thought you'd allowed.
The password box says Leave blank to keep the current password. Typing a new one there sets their password, and you'll be asked for your own password first.
If someone has forgotten their password, it is kinder to let them reset it themselves (below) than to set one for them. That way only they ever know it.
To remove several at once, tick their rows and press Delete in the bar that appears at the bottom.
Deleting an account can't be undone. You can't delete yourself, and the site always keeps at least one administrator: the last one can't be deleted or turned into a standard account.
Anyone who has forgotten their password can press Forgot your password? on the sign-in screen, type their email and press Email Password Reset Link. They get an email with a link to choose a new one.
To change your own details, click your name at the bottom of the sidebar and choose Profile. There you can change your Name and Email, set a new password under Update Password (you'll need your current one), choose under Warnings whether moving a page to a new parent asks you first (this is remembered on that computer only), and delete your own account.
Cairn does not have two-factor sign-in. Use a long password that you don't use anywhere else.
